Guide — Agency 1 · Ads

Marketing Division — Ads Division. Your one-page operating guide for the Top Lids Marketing board. You own a card from ADS - APP onward. Full detail in project docs 02, 03, 05; your checklist is “Launch Ad” on the TEMPLATE - Ad Card in the GUIDE list.

Visual edition. Same guide as Guide - Agency 1 Ads.md, with diagrams added. Every rule is worded identically — if the two ever disagree, the plain .md is the authority. This file is self-contained: it works offline, in any browser, and prints cleanly.

Who you are, and who your counterpart is

Agency 1 is the Marketing Division in the SOP's vocabulary, and it works this board as two divisions. You are the Ads Division — the paid-media half. Your counterpart is the Organic Division, which does all the editing up to approval and hands you a finished creative.

One thing to know before anything else

The board carries two kinds of content, and every card says which it is with a label — 🌱 ORGANIC or 📣 AD. While content is being made they sit together in QUEUED / TBE / TBA, because the editing work is the same. When they're approved they part company into two separate lists, and only one of them is yours.

Yours

  • ✅ ADS - APPyour intake. Everything below is about these cards.
  • 📣 ADSyour creative library. A store, not a stage. Everything that exists and isn't currently running rests here.
  • 🔴 ADS - LIVEyour terminal list. What is running right now, and nothing else. The ad track's equivalent of ORGANIC - POSTED.

Not yours

  • ✅ ORGANIC - APP — Agency 2's intake. Organic posts, scheduled to a Due Date.
  • 🗓️ ORGANIC - SCHEDULED and 📤 ORGANIC - POSTED — Agency 2's, and nothing on your track ever enters them.
  • QUEUED / TBE / TBA — the Organic Division's editing pipeline. If you're in there, you're in the wrong list.

Your flow

the Organic Division delivers the creative into ADS - APP ADS - LIVEcampaign ends 📣 ADS
ORGANIC DIVISION DELIVERS FINALIZED FILE + the campaign brief: platform · account · campaign audience · budget · run dates YOUR INTAKE ADS - APP you write the AD COPY here: primary text · headline · description CTA button · destination URL launch ADS - LIVE running right now campaign ends 📣 ADS creative library — a store, not a stage re-used in a new campaign No Due Date, at any point. An ad has a run window — it lives in RUN DATES on the card.
ADS holds everything that exists; ADS - LIVE answers “what is running today”. Keeping those two honest is what makes the library re-usable.

What arrives on your desk, and what doesn't

A card lands in ADS - APP carrying two things and only two things: the finished creative (FINALIZED FILE, a Drive link put there by the Organic Division) and the campaign brief (AD PLATFORM, AD ACCOUNT, CAMPAIGN, AUDIENCE, BUDGET, RUN DATES, and CREATOR / TALENT where relevant).

The ad copy will not be there, and that is correct. PRIMARY TEXT, HEADLINE, DESCRIPTION, CTA BUTTON and DESTINATION URL are yours to write, on the card, after approval. Ad copy is written against an audience and an offer — it is a campaign decision, not an editing one. The Organic Division writes captions, titles and CTAs for 🌱 ORGANIC cards only; it never writes them on an Ad Card.

What you do, step by step

  1. Take the card in ADS - APP. Assign yourself as the card member so it shows in your “My Cards”. Check the creative and the campaign brief are both present. If the brief is incomplete, comment and @mention the Marketing Director (Tyler Moon) and leave the card where it is — do not launch on a guess.
  2. Write the ad copy on the card. Fill PRIMARY TEXT, HEADLINE, DESCRIPTION, CTA BUTTON and DESTINATION URL in the card description. The card is the source of truth — copy that only exists inside the ad account doesn't count as written.
  3. Confirm whitelisting permission in writing wherever the ad runs under a creator's handle, and record it in WHITELISTING.
  4. Test the destination URL. Click it. Confirm it lands where the copy promises.
  5. Schedule the creative and integrate it into the campaign — either build a new campaign in the ad account, or add the creative to the existing campaign named in CAMPAIGN.
  6. Paste LIVE AD URL(S) on the card and move it to 🔴 ADS - LIVE once it is actually running. That move is yours alone, and it means “this is live right now”.
  7. When the campaign ends, move the card back to 📣 ADS — the creative library.

Never, on any card of yours

Turnaround expectations

StepTarget
Ad copy written on the card≤ 3 business days from the card landing in ADS - APP
ADS - APPADS - LIVE (campaign live)≤ 5 business days, or by the card's RUN DATES start — whichever is sooner
ADS - LIVEADS (campaign ended)≤ 5 business days after the RUN DATES end

Blocked, and escalation

If something is missing — creative, budget, account access, a whitelisting permission — add the 🔴 Blocked label and a comment saying exactly what is missing and from whom. A card carrying 🔴 Blocked with no such comment is not a legitimate reason for it to sit still.

Escalation on this track goes to the Marketing Director (Tyler Moon), never to Agency 2.
